Workday resume guide: how to get through a Workday application

Workday is the system behind many large employers' careers sites. Your resume does two jobs there: it pre-fills a long, multi-step form, and it sits in the employer's records for recruiters to search. Most Workday frustration comes from the first job, so this guide focuses on what autofill gets wrong and how to catch it before you submit.

Who uses Workday

Large employers; the most common ATS in the Fortune 500

Jobscan reports that more than 40% of Fortune 500 companies used Workday for talent acquisition in 2026, and 15.9% of the roughly 12,000 companies in its broader 2025 sample. Employers configure Workday differently, so treat this guide as what you are likely to see, not a promise for every company.

How applying through Workday works

  1. Job pages usually live on the employer's own Workday site, a myworkdayjobs.com address with the company name in it.
  2. Each employer runs its own Workday site, so you create a separate candidate account for each company. Use the same email you apply with, or the employer may not be able to link your applications to the account.
  3. You then choose how to start, typically by uploading a resume to autofill the form or by applying manually. Some sites also offer to reuse your last application with that employer.
  4. The form runs over several pages, usually your contact details, your work history and education, the employer's application questions, and voluntary disclosures, ending with a review page.
  5. Work authorization, sponsorship, location and salary questions often appear in the application questions step. Employers can use them to filter candidates before anyone reads the resume.

What Workday does with your resume

Your file pre-fills structured fields

Autofill copies job titles, employers, dates, education and sometimes skills from your resume into separate form fields. Whatever the parser misreads lands in your profile exactly as misread, so a clean, single-column file saves you retyping later.

Upload limits are small

Workday upload fields commonly show a 5 MB maximum. A text-based PDF or Word file is a fraction of that; a resume that hits the limit usually has embedded images or was scanned, and a scanned file gives the parser nothing to read.

The original file still travels with you

Recruiters can open the resume you uploaded, not only the form fields. Keep the file itself readable and consistent with what you typed into the form.

Where Workday applications go wrong

Work history split or merged wrongly

Autofill can put two roles into one entry, split one role into two, or leave the experience section half empty. Check every entry against your resume: title, company, start and end dates, and the description.

Dates in unusual formats

Write dates in one consistent format such as 'Mar 2022 – Jun 2024' or '03/2022 – 06/2024'. Seasons, years alone or mixed formats are the easiest way to end up with empty or wrong date fields.

Skills you never see

Where the form has a separate skills field, it is often a type-ahead list that autofill fills only partly. Add the skills the posting asks for that you genuinely have, using the posting's own wording.

A new account per company

Applying to five Workday employers means five accounts and five password resets. Keep a note of which email you used where; a mismatched email is a common reason you cannot see an application you already sent.

The general rules (one column, standard headings, no tables or text boxes) apply here too. They are covered in ATS resume formatting: what to avoid.

Checklist before you click Submit

  • Single-column resume with standard headings: Experience, Education, Skills
  • Dates in one consistent month and year format
  • Text-based PDF or .docx, well under 5 MB
  • Account created with the same email you put on the application
  • Every work history entry checked after autofill: title, company, dates
  • Skills field filled with the posting's wording where it is true for you
  • Knock-out answers (authorization, sponsorship, location) read twice
  • Review page read top to bottom before you click Submit

Test your resume before you apply

Upload your file to the free ATS resume parser to see the plain text and sections a parser gets out of it. Then paste the job description into the free ATS checker to see which requirements your resume does not cover yet.

FAQ

Does Workday accept PDF resumes?

Yes, Workday careers sites generally accept PDF and Word files. Use a PDF exported from a word processor so the text is selectable; a scanned PDF is an image and autofill cannot read it.

Why did Workday autofill get my experience wrong?

Autofill depends on reading your file top to bottom. Columns, tables, text boxes, headers and unusual date formats are the usual causes. Fix the entries by hand on the form, then simplify the file before the next application.

Do I need a separate Workday account for every company?

Usually yes. Each employer runs its own Workday site, so an account with one company does not carry over to another.

Does Workday reject resumes automatically?

The employer decides. Knock-out questions such as work authorization can screen you out before a recruiter reads anything, and some employers add AI-assisted ranking (Workday bought HiredScore in 2024). Whether and how they use it is the employer's configuration, not a fixed Workday rule.
