SAP SuccessFactors resume guide: applying through SuccessFactors

SAP SuccessFactors is the recruiting side of SAP's HR suite, used by large employers worldwide and especially common in Germany. Applying usually means building a candidate profile with that employer, which your resume helps fill in. The profile is what recruiters search, so it deserves as much care as the file.

Who uses SAP SuccessFactors

Large employers, especially in Germany and Europe

Jobscan reports SAP SuccessFactors at 12% of the Fortune 500 in 2026, second after Workday. A website-technology tracker finds it more common than Workday Recruiting in Germany, where it ranks third among detected HR tools behind Personio and Recruitee. Employers configure SAP SuccessFactors differently, so treat this guide as what you are likely to see, not a promise for every company.

How applying through SAP SuccessFactors works

  1. Job pages sit on the employer's careers site, which SuccessFactors powers in the background, so the address does not always show SAP.
  2. You create a candidate account with that employer. The candidate profile usually stays with the account and is reused when you apply to other roles at the same company.
  3. You upload a resume, and where the employer has turned on resume parsing, it fills profile fields such as work history and education.
  4. The employer's application questions and any data-privacy consent follow. German employers often ask for salary expectations and your earliest start date at this point.

What SAP SuccessFactors does with your resume

Word, PDF or plain text

SAP's documentation says candidates can upload a resume or other documents in Word, PDF or plain text format. It also notes that PDFs scanned in or saved as images do not parse as expected.

5 MB is the usual limit

Each document has a default maximum of 5 MB, which employers can raise to 10 MB. Files just over the limit are rejected, so a text-based file with no embedded images is the safe choice.

Parsing fills fields with fixed lengths

Parsed text lands in profile fields the employer configured. Very long single entries can be cut or fail to parse, so short, clearly separated bullets come through better than long paragraphs.

Where SAP SuccessFactors applications go wrong

An outdated profile on the next application

Because the profile is reused, an old title or a missing recent role follows you into every new application at that employer. Update the profile, not only the uploaded file.

Mixing German and English

If the posting is in German, write the resume in German and use the posting's terms; if it is in English, stay in English. Mixed-language files are harder for both parsers and recruiters to match.

Several documents squeezed into one file

German applications often include certificates and references. Where the form lets you upload them separately, do so; one large merged PDF is more likely to hit the size limit.

The general rules (one column, standard headings, no tables or text boxes) apply here too. They are covered in ATS resume formatting: what to avoid.

Checklist before you click Submit

  • Text-based PDF or .docx under 5 MB
  • Resume in the language of the posting
  • Candidate profile checked after parsing: titles, employers, dates
  • Profile updated if you applied to this employer before
  • Salary expectation and earliest start date ready if asked
  • Certificates uploaded as separate documents where the form allows it

Test your resume before you apply

Upload your file to the free ATS resume parser to see the plain text and sections a parser gets out of it. Then paste the job description into the free ATS checker to see which requirements your resume does not cover yet.

FAQ

What file formats does SAP SuccessFactors accept?

SAP's documentation lists Word, PDF and plain text for resumes and other candidate documents. The employer can still restrict this in the posting.

What is the file size limit in SuccessFactors?

The default is 5 MB per document, and employers can raise it to 10 MB. If your file is rejected, export a text-based PDF without embedded images.

Do I need a new SuccessFactors account for every company?

Usually yes. Each employer runs its own careers site, and your candidate profile belongs to that employer's system.
