iCIMS resume guide: what happens when you apply through iCIMS
iCIMS runs careers sites for many mid-sized and large US employers. Like Workday, it uses your resume to fill in a candidate profile, and each employer configures the steps differently. The one rule iCIMS states itself: upload your resume before filling in anything else.

Mid-sized and large US employers
In Jobscan's 2025 sample of about 12,000 companies, 15.3% used iCIMS, and Jobscan describes it as an enduring choice in the Fortune 500. Employers configure iCIMS differently, so treat this guide as what you are likely to see, not a promise for every company.
How applying through iCIMS works
- The careers site is usually an iCIMS portal with the company name in the address, or iCIMS embedded in the company's own site.
- You sign in or create a profile with that employer, usually with your email address.
- iCIMS asks for your resume early. Its candidate guide recommends uploading it before completing other fields, because parsing fills the profile for you.
- Then come the employer's screening questions and, on US postings, voluntary EEO questions. Their number and order depend entirely on the employer's setup.
What iCIMS does with your resume
Common document formats are accepted
iCIMS documentation lists .doc, .docx, .odt, .pdf, .rtf and .txt, and rejects compressed .zip files.
Your name must be in the body
iCIMS notes that a name placed in the document header can prevent parsing, and a resume without a name is rejected. Put your name and contact details at the top of the page, not in Word's header area.
Non-traditional layouts cause errors
iCIMS lists text boxes, images, annotations and tables as the most common causes of parsing mistakes and omissions.
Where iCIMS applications go wrong
Filling the form first
If you type your details and then upload, parsing may not fill the profile you expected, or you end up with duplicates to clean up. Upload first, then review.
Assuming every iCIMS site works the same
Two employers on iCIMS can have very different forms. Read each page instead of clicking through on habit.
Template resumes with text boxes
Many downloadable templates build the layout from text boxes and tables. They look fine in Word and come out scrambled or empty in iCIMS. Use a plain single-column file.
The general rules (one column, standard headings, no tables or text boxes) apply here too. They are covered in ATS resume formatting: what to avoid.
Checklist before you click Submit
- Name and contact details in the body of the page, not the header
- No text boxes, tables, images or comments in the file
- .docx, .pdf or another listed format; no .zip
- Resume uploaded before filling in other fields
- Parsed profile checked: titles, employers, dates, education
- Screening questions read one by one
Test your resume before you apply
Upload your file to the free ATS resume parser to see the plain text and sections a parser gets out of it. Then paste the job description into the free ATS checker to see which requirements your resume does not cover yet.
FAQ
What file formats does iCIMS accept?
iCIMS documentation lists DOC, DOCX, ODT, PDF, RTF and TXT, and does not accept ZIP files. The employer can still ask for a specific format.
Why did iCIMS not read my resume?
The usual causes are a name placed in the document header, text boxes, tables, images or comments in the file, or a scanned PDF. Move everything into the main body as plain text and upload again.
Should I upload my resume first on iCIMS?
Yes. iCIMS's own candidate guide recommends uploading your resume before completing other fields so parsing can fill your profile.
