Greenhouse resume guide: what happens when you apply through Greenhouse
Greenhouse is popular with tech companies and fast-growing teams. Applying is short: one page, and an account is optional. That makes the resume file itself more important, because there is no long form where you can fix what the parser missed. Recruiters read it, search it and score you on structured scorecards later in the process.

Tech companies and growth-stage employers
In Jobscan's 2025 sample of about 12,000 companies, 19.3% used Greenhouse. Employers configure Greenhouse differently, so treat this guide as what you are likely to see, not a promise for every company.
How applying through Greenhouse works
- The job page is either on a Greenhouse job board (boards.greenhouse.io or job-boards.greenhouse.io, with an EU variant) or embedded in the company's own careers page.
- You fill in one form: name, email, phone, resume, often a cover letter and a LinkedIn or portfolio link. No account is required.
- Where the employer has turned it on, an 'Autofill with Greenhouse' button lets you fill the form from a free MyGreenhouse profile, which you can reuse across Greenhouse employers.
- Employers add their own questions to the same form. Some are knock-outs, such as work authorization or willingness to relocate, and US postings often include voluntary demographic questions.
- After you submit, the resume and your answers go to the hiring team. Interviews in Greenhouse are usually scored on structured scorecards against criteria the team defined for the role.
What Greenhouse does with your resume
Five file types are accepted
Greenhouse's own help center lists .pdf, .doc, .docx, .rtf and .txt for resumes and cover letters, with a 100 MB cap per file. Size is never the problem; a scanned image is.
Contact details come from the form
Name, email and phone are typed into the form or filled from your MyGreenhouse profile, not parsed from the file, so a parser miss on your header does not lose your contact details. It can still confuse what the recruiter sees, so keep contact details in the body of the page, not in a document header.
Recruiters search the text
Hiring teams can search candidates by words in their resumes. Skills and tools written as plain text are findable later, for this role and for future ones; skills shown only as icons or bars are not.
Where Greenhouse applications go wrong
Treating custom questions as optional
Short-answer questions on a Greenhouse form are read next to your resume. A one-line answer to 'Why this role?' signals as much as a weak summary. Write them with the posting open.
A design-heavy file
Because a human reads your original file early, layout matters for people as well as for parsing. Columns and graphics that survive a PDF viewer can still come out scrambled in the text the team searches.
Ignoring the scorecard
Teams often define the attributes they will score before interviews start, and those usually mirror the requirements in the posting. Make sure each core requirement is visible in your resume with a concrete example.
The general rules (one column, standard headings, no tables or text boxes) apply here too. They are covered in ATS resume formatting: what to avoid.
Checklist before you click Submit
- Text-based PDF or .docx, single column
- Contact details in the body of the page, not in a header
- MyGreenhouse profile up to date, if you use Autofill with Greenhouse
- Each core requirement from the posting backed by a bullet with a result
- LinkedIn and portfolio links filled in and working
- Custom questions answered in full sentences, with the posting open
- Cover letter tailored or left out, not generic
Test your resume before you apply
Upload your file to the free ATS resume parser to see the plain text and sections a parser gets out of it. Then paste the job description into the free ATS checker to see which requirements your resume does not cover yet.

FAQ
What file types does Greenhouse accept?
Greenhouse's help center lists PDF, DOC, DOCX, RTF and TXT for resumes and cover letters, up to 100 MB per file. Individual employers can still ask for a specific format in the posting.
Do I need a Greenhouse account to apply?
No. You can submit the form without signing up. Where the employer enables it, a free MyGreenhouse account lets you autofill applications from a saved profile; if you use it, keep that profile's resume and details current.
Is Greenhouse easier on resume formatting than Workday?
It asks less of the parser, because your contact details come from the form and there is no long autofilled work history to fix. But recruiters search and read your file directly, so a clean single-column layout still pays off.
Does Greenhouse rank or reject resumes automatically?
Knock-out questions can reject applications automatically if the employer sets them up. Beyond that, how candidates are reviewed and ranked depends on the employer's configuration.
